An exciting opportunity has arisen for a driven, passionate & independent Service Administrator, to join our growing, family friendly and strong cultured business. In this role you will be responsible for the day-to-day handling of customer service enquiries, working with the Field Service Team and the Sales Team to ensure customers receive timely and quality service.

Support the growth in service revenue and orders and radically improve the customer experience. Ensure unity via seamless inter-department collaboration.

The Service Administrator acts as the point of contact between the customers and Field Service Engineers/Service Agents. Service activities are tracked and managed through Service Orders raised and processed by Service Admin.

As a Service Admin, you will be responsible for but are not limited to:

  • Handle customer inquiries (phone, email etc.) including obtaining purchase orders when required
  • Create & release service jobs via SAP and through Mobile Service or any service tool that is implemented
  • Process completed jobs and handle any associated processing errors
  • Process spare part requests from Service Engineers & Agents
  • Process Customs Declaration forms for goods returned to the BU & follow up with the BU on the status of repairs & close off the job as a required e.g. replacement, return or credit
  • The scheduling of preventative and reactive maintenance visits and service engineer dispatch
  • Quotation generation for service work and expiring warranty
  • Monthly tracking and renewal of expiring service contracts
  • Stock reconciliation
  • Monitoring service cases and weekly reporting

Other responsibilities:

  • Work with the National Service Manager on continuously improving service processes
  • Assist with inventory reduction
  • Weekly - service sales funnel listing of opportunities and corresponding probabilities
  • Strategic accounts management
  • Service contract renewals
  • Drafting of contract proposals
  • Notification management

A successful candidate will possess:

  • Experience in Service Administration and customer care process flows
  • Strong communication skills with service sales-ability
  • Proven organizational skills and the ability to multi-task
  • High attention to detail
  • Ability to work to tight deadlines and energetic
  • Ability to work in a very high paced environment
  • Ability to prioritize and plan
  • A sense of urgency
  • Highly proficient in Microsoft Excel and SAP
  • Customer satisfaction focussed

Highly Desirable:

  • Knowledge of SAP
  • Knowledge in Salesforce.com
  • Experience in Work Scheduling
  • Knowledge of Lotus Notes
  • Knowledge in the Lifesciences/Medical industry
