We are on the lookout for a highly organized allocations consultant to become part of our team, with the view to develop into a co-ordination role – and share our passion.

The role involves supporting client service managers, booking large volumes of works and allocating the work out to employees, whilst keeping all clients and management updated on the progress of each job

Job tasks and responsibilities

Responsibilities would include but are not limited to:

  • Being the first point of contact for all incoming communication, including calls and emails
  • Effective Scheduling, co-ordination and diary management of work for employees
  • Excellent communication and problem solving skills and ability to interact effectively with staff at all levels
  • Flexible hands on attitude with an attitude to achieve company objectives and efficiencies
  • Regular monitoring and response to electronic communications in high volumes
  • Processing work orders, data entry and supporting to build a pipe line of works
  • Ensure accurate and consistent record keeping and maintenance including filing and archiving systems
  • Ensuring the smooth and efficient operation of front office functions
  • Provide general admin support to the director, management and coordinators
  • Maintaining data bases of client information
  • Scanning and sending documents to the correct relevant people
  • Experience working in a trade like environment and or sales experience would be advantageous but not essential.
  • Office Hours are 11.00am – 5.30pm Monday to Friday.

    Skills and experience

    The following skills are Required:

    • Effective time management is essential as we have a busy, ever changing office environment so adaptability is important.
    • Previous office/administration experience
    • Great communication skills are required as you will be interacting with a wide range of people both within the office, customers and suppliers
    • Ability to multi-task with strong attention to detail
    • Experience using Mac Computers and Windows based programs
