Our client is a privately owned award winning boutique Financial Planning Firm with over 27 years of experience specialising in providing fee for service financial planning advice, structure and direction.
 
The business is growing and in need of a strong administrative anchor to support the team.
 
Ideally, the business is seeking a highly professional and enthusiastic can do career administrator with a financial services background in a small business.
 
Key Responsibilities:
  • Your two primary responsibilities are to ensure the smooth operations of all administrative tasks and managing the first impression of the firm by being the first point of contact on the telephone and greeting clients
  • Handle enquiries of an administrative nature, actioning Xplan tasks daily, emails, daily requests, distributing mailfaxes
  • Diary management, maintain Xplan database
  • Prepare and process all required paperwork and transactions resulting from reviews and implementation of advice provided to clients
  • Assisting Advisers and staff on a day to day basis
  • Maintain client relationships through managing all administration enquiries from clients both face to face and over the phone
  • Client services agreements, management of Opt In and FDS processes
  • Managing Term Deposit maturities
  • Keeping files orderly to meet compliance requirements, filing, file finalisations after meetings

About You

  • Minimum of 2 years+ experience in a Financial Planning Administrator role
  • Self-Motivated with demonstrated ability to take ownership of tasks and take pride in producing work to the highest possible standards
  • Sound Knowledge in IT systems, including MS Office suite and Outlook
  • Experience with Xplan (Essential)
  • Keen interest in financial planning and ability to learn quickly
  • A thorough understanding of superannuation
  • Ability to work in a team and handle busy challenging workload following detailed processes to time frames
  • Passionate in delivering quality services to clients
  • Attention to detail and accuracy is a must
  • Ideally Degree qualified in related field or studying
