The Japan Foundation, Sydney aims to promote cultural exchange between Japan and Australia as one of 25 overseas offices of The Japan Foundation, which was established in 1972 in Tokyo. We organise and participate in a diverse range of cultural events to provide Australians with opportunities to experience Japanese arts and culture, and support Japanese studies and Japanese language education in Australia through a variety of programs. We are currently seeking a highly motivated person for the position of Program Coordinator in the Arts and Culture Department.

 

1. Salary and conditions: 65-68K (depending on experience) including bonus equivalent to one month’s salary plus 9.5% superannuation. Permanent appointment subject to a 3-month probationary period. Working conditions (hours, entitlements) apply.

 

2. You will be responsible for (but not limited to) the following tasks:

 (1) Project management:

  • Provide end-to-end project management for large scale events including the Japanese Film Festival
  • Planning and coordinating events and projects including art exhibitions, performing arts events, cultural demonstrations, talks and film screenings.
  • Liaise with various internal and external stakeholders for multiple projects occurring concurrently, including external agencies and freelancers.

 (2) Grants: Administrating grant programs related to Arts and Culture exchange with Japan.

 (3) Marketing: Create a marketing strategy for all Arts & Culture programs; organise and schedule online and offline campaigns; prepare marketing copy and artwork to be used on all owned media; publish a regular e-newsletter; create and schedule content for Facebook, Instagram, website; and other media.

 (4) Partnerships: Negotiate and secure sponsorships with external partners for the Japanese Film Festival; manage existing partnerships with distributors and suppliers.

 (5) Film programming: Review films with a group of coordinators and provide ideas for film programming both classic and contemporary Japanese films

 (6) Logistics: Organise event venues, equipment transport and travel for artists/guests

 (7) Volunteer management: Assemble, motivate and engage with large teams of skilled volunteers to support and strengthen execution of public events

 (8) Travel interstate to handle on-site operations and staff management for the Japanese Film Festival

 

3. Selection Criteria:

(1) Communication: 

  • Ability to communicate effectively with people from a wide variety of cultural and linguistic backgrounds, and to work co-operatively as a team member in a highly professional manner.
  • Impressive stakeholder management skills and the ability to work autonomously to achieve effective outcomes which are on-brief and reflect brand and stakeholder input.
  • Excellent written and verbal communication skills in English (native level).
  • Pre-advanced reading and verbal communication skills in Japanese (JLPT N2 or greater is desirable).

(2) Event Management:

  • Demonstrated ability to plan, coordinate and execute a wide variety of programs and events while prioritising multiple tasks in a logical and time efficient manner.
  • Experience in securing guests to present at talks and workshops, including arranging guests' domestic/international travel.


(3) Marketing and Promotion:

  • Demonstrated knowledge of digital marketing platforms as well as some experience in creating marketing strategies to integrate communications and maximise customer engagement, branding and awareness. Familiarity with offline marketing methods will also be useful.
  • Experience in social media content creation and scheduling, including familiarity with utilising Facebook Business and Google Analytics.
  • Knowledge of market research practices including implementation and strategic analysis of primary and secondary data.


(4) Technical:

  • Moderate abilities using non-linear digital video/audio editing software and an understanding of current film, video and audio formats.
  • Ability to use Adobe Creative Suite, particularly Photoshop, InDesign, and Premiere Pro.
  • Familiarity with Mailchimp and Wordpress (or similar publishing platforms).
  • Demonstrated experience in the use and operation of technical equipment for use in public programs including projectors, PA systems, and microphones.
  • Intermediate skills in MS excel (desirable).
  • Experience with art installation and gallery set-up (desirable).


(5) Miscellaneous:

  • Strong interest in cultural exchange between Australia and Japan.
  • Interest in Japanese art and cinema (desirable).
  • Australian national or permanent resident visa holders only.

 

4. Commencement date:  3 September 2018 (ASAP)
