Purpose of the role

This role is responsible for managing the Project Management Office (PMO) function within the firm. This role coordinates the planning, execution, reporting and governance of projects across the firm.

Job description

Your responsibilities include:

Project execution 

  • Manage the PMO team, coordinating across the various programs and projects to ensure objectives are achieved. 
  • Facilitate coordination between and among projects, ensuring that projects are effectively integrated and interdependencies managed.
  • Work with project managers to prepare and implement project plans, change plans and stakeholder plans.
  • Coach, consult with, and support PMO members and project teams as required.
  • Help resolve issues and solve project problems, ensuring the appropriate level of involvement of stakeholders in the firm.
  • Regularly report progress to the firm's Chief Operating Officer and leadership, escalating issues and providing recommendations.
  • Support the team delivering projects to ensure that change, issues, benefits and risk are managed.
  • Coordinate overall project delivery to agreed quality, within budget and agreed timeframes.

Strategic project planning and prioritisation

  • Coordinate multiple projects for the firm, balancing competing priorities, timelines, and resource requirements with overall business objectives.
  • Adjust the program of work to accommodate changes to business objectives, priorities and resources.
  • Support the Chief Operating Officer in the development of strategy for Business Operations as required.
  • Partner with others in the firm who want to embark on projects, in order to assess workloads and impacts for different teams, provide assistance with project planning and resourcing.
  • Prepare strategic communications, including executive level presentations and Board reports.

Project governance

  • Identify and maintain a project governance structure that supports smooth delivery of projects.
  • Assist project teams in project management and change activities by providing methods, frameworks, templates and best practices, and by sharing lessons learned from the projects.
  • Work with project teams to ensure documentation, supporting materials, and project plans are updated and readily available for internal teams and senior leaders.

What you need

  • A proven track record of managing a PMO or large, multi-disciplinary strategic program of work in a complex and dynamic environment
  • Exceptional written and verbal communication skills 
  • Well-honed change management and influence skills, with ability to manage stakeholders across all levels of the business to ensure business needs are met
  • Strong problem solving skills and issue resolution skills
  • Robust experience in developing and implementing program governance and change management frameworks
  • Experience in managing a team, with demonstrated ability in coaching project managers and analysts to achieve project outcomes
  • Ability to think innovatively and drive continuous improvement across policy, process and systems
  • A proactive, results oriented, client service focus
  • Ability to work in a highly collaborative team environment
  • Experience in a complex services business, or professional services firm would be a plus. 

Qualifications

Advanced relevant degree, ideally with qualifications in project management and change management
