WARNING: This is not your usual EA role assisting a stuffy Executive with travel plans and diary management. This role will have you working side by side with a successful entrepreneur. You will need to be an equal but opposite force, turning visions into reality with a focus on team member accountability and consistency.

 

An opportunity has arisen to be part of an exciting company which has quickly become one of Australia and New Zealand's leading coffee pod/capsule suppliers. This young but dynamic FMCG business is experiencing strong national and international growth, with distribution channels including large retail chains, supermarkets and ecommerce. If you are a results driven individual who relishes the challenge of juggling various responsibilities in a growing and constantly evolving business and who likes working within a small and diverse team, then this role is for you.

We are seeking a committed and experienced Executive Assistant with a positive attitude who will share our core values (see below). The successful candidates will be a strong all-rounder with an excellent work ethic. You will be reliable and driven, able to work autonomously and meet deadlines.

This is a full-time role and will suit you ideally if you want to roll up your sleeves, work hard, make a difference and be a part of a high achieving team. You must be organised, with a cool calm head and fit our non-corporate culture.

 

About the role

  • Provide varied support to the Managing Director and senior management team, including:
    • Performance Management & Accountability for team members
    • Executing organisation prioritisation
    • Creating and monitoring compliance of SOP’s
    • Ensuring the organisation is aligned with its Core Values
    • Ensuring communication is effectively flowing across the organisation
  • Planning & Forecasting sales (using excel) 
  • Scheduling marketing workflow and liaising with various agencies regarding the timely delivery of projects
  • Assisting with the management of social media
  • Preparing various documentation, spread sheets and reports
  • Minute taking, creating and distributing agendas
  • Proofreading, editing and formatting documents, presentations and proposals
  • Planning, managing and contributing to various projects (with a special focus on company culture)
  • Office Management duties

 

About You
First and foremost: you need to care. We care about what we do and how we do it, so you will need to as well. You’ll believe that problems are for solving, not for making excuses about, and deadlines are for meeting.

You’ll be as comfortable working through meticulous, time-consuming processes as you will be powering through a report, aided by your excellent knowledge of excel (which we’ll test you on as part of the recruitment process). You’ll love removing the complexity of tasks to improve efficiency and you’ll have the confidence to clarify requests.

 

You should possess the following skills and attributes

  • At least 3 years experience in an Executive/Personal Assistant role 
  • Highly organised and responsive
  • Computer literacy, with strong excel skills
  • Excellent communication skills, both written and verbal
  • Excellent time management and organisational skills, including the ability to prioritise effectively and efficiently
  • Strong problem solving skills with the ability to multi-task and meet strict deadlines
  • Ability to learn and work in a fast growing environment
  • Openness and honesty in conversations with all
  • The ability to give and receive feedback respectively and constructively
  • A flexible approach to learning new skills
  • Adaptability and willingness to move/change directions at fast pace
  • Commitment to professional development and personal growth
  • Excellent capacity to be self-educate
  • Enthusiasm for the work
  • Have attention to detail in everything you do
  • Driver's licence
