Admin Associate II – Contract 12 Months with view to going Permanent 
 
The Role 

The Commercial Admin Associate will provide a high-level of administrative support in an efficient, professional manner. This position will support colleagues in the Australian Marketing and Sales teams, and plays an important role ensuring the effective and efficient maintenance of departmental processes, procedures and programs. Interaction is with internal colleagues as well as external stakeholders including healthcare professionals and vendor agencies. The role requires ability to multi-task, working at fast pace on time-sensitive matters, while ensuring high attention to detail.
 
Key Responsibilities 
 
  • Provide broad support to the Marketing and Sales team, including coordination of day-to-day activities that lead to the completion of projects and tasks
  • Schedule meetings and coordinate the calendars for the Marketing and Sales teams
  • Manage processes and systems for engagement with external parties, including contract preparation and execution, service agreements and vendor set up
  • Coordinate the administration of sales and marketing sponsorships, including internal approval process and execution with external stakeholders
  • Coordinate, track and manage the budget for all promotional and sales activities in the Australian market
  • Manage the creation and execution of contracts with external parties (vendors and healthcare professional customers)
  • Administer the local promotional material approval (CRC) process via the Zinc tool
  • Manage logistics for both internal and external sales and marketing-led events, including cross-functional team meetings, advisory boards, educational meetings and local congresses
  • Coordinate inventory management of sales materials
 
Qualifications 
 
Minimum Qualifications
 
  • Higher school certificate and 3-5 years’ secretarial/administrative experience
  • Proficiency in MS Word, MS Excel, MS Outlook, MS PowerPoint
  • Versatile multi-tasker, comfortable in a fast-paced environment working on time-sensitive matters
  • Excellent organisational skills that reflect ability to perform and prioritise multiple tasks with accuracy and attention to detail
  • Effective interpersonal skills and the ability to build relationships with stakeholders, including team mates, international colleagues in medical and legal functions, external vendors and customers.
  • Strong written and verbal communication skills and demonstrated high proficiency for correct spelling, grammar, tone and syntax
  • Possesses strong integrity and takes initiative to get tasks done, proactively tracks status of projects and solves problems to keep projects moving forward
  • Adapts to changing priorities and needs quickly and effectively
  • Is curious; open to and seeking to learn new things
 
Preferred Qualifications
  • Strong work tenure: 5+ years in supporting pharmaceutical marketing processes
  • 2 + Years working in a Pharmaceutical setting 
  • Bachelor’s degree
  • Proficiency with software such as SharePoint, Concur, Oracle and ZincMaps or Veeva PromoMATS
  • Experience coordinating and managing logistics for meetings, small and large
