We are currently seeking an experienced Tender Submissions Coordinator to join our Corporate Team in the Perth Office.

The Role

The Submissions Coordinator is responsible for driving the successful coordination and submission of Expressions of Interest (EOI), tender submissions, preparation of various prequalifications and tender process within the business development department. Proactively coordinates deliverables with key stakeholders to maximise the development of customised individual bids.

In addition, this role:

  • coordinates, implements, and maintains the company’s Document Control and QA Management System in compliance with relevant international Standards (i.e. ISO 9001).
  • provides contract administration support to various projects within the business

Responsibilities

  • Provide submissions coordination of EOI and Tenders
  • Provide functional support to the Civil Engineer / Estimator
  • Manage the end to end coordination and production of EOI’s, tenders and other publications from concept to delivery
  • Monitor the progress of the tenders and respond to Client queries
  • Prepare tendering status reports
  • Overall coordination of controlled documentation within the company.
  • Coordinate storage, archiving, scanning and filing of company documentation and records.
  • Responding to general inquiries from employees regarding Quality Assurance matters.
  • General project / contract support to site and corporate (including purchase orders, obtaining purchase orders, rostering, cost tracking, invoicing and progress claims).

What you will need to be successful...

  • Proven experience with tender submissions and / or estimating
  • Minimum of 3-5 years document control experience in the mining services or construction industry
  • Experience with electronic document control and HSE systems preferred
  • Strong verbal, written, organisational, time management and interpersonal skills.
  • Strong computer skills, including working knowledge of MS Office and e-mail.
  • Experience with document control software, HSE Data bases is desired (i.e. SharePoint, STEMS and Cintellate).
