One of federal government clients is seeking to engage services of a APS 6 Parliamentary officer. The Ministerial and Parliamentary Section is responsible for the coordination and management of a wide range of documents and processes related to the Minister for Social Services, the Assistant Minister for Social Services and Disability Services, the agency Executive as well as a number of parliamentary committees, including the Joint Standing Committee on the agency.

The section has a diverse range of responsibilities, which include ministerial correspondence, ministerial submissions and briefs, and coordination activities such as Question Time Briefs (QTBs), Senate Estimates and parliamentary committee inquiry hearings, administering the agency’s instance of the Parliamentary Document Management System (PDMS), and staff engagement and training on ministerial and parliamentary matters.

Duties

APS 6 (equivalent) Parliamentary Officers will be required to provide high quality advice and client service to the Executive and staff, the Minister’s Office (MO), the Assistant Minister’s Office (AMO) and other key stakeholders across government. This includes, but is not limited to:

• providing high quality advice and customer service to the NDIA Executive, ministerial offices and other key stakeholders, including agency staff;

• managing the day-to-day processing of ministerial documents to the ministerial offices, ensuring documents are of high quality, meet timing requirements and comply with ministerial and executive style preferences;

­ This includes editing and proof-reading ministerial documents, consulting with relevant line areas and providing feedback on the quality of documents.

• establishing and maintaining a suite of standard words on key topics to support the ministerial correspondence process;

• assisting with the Senate Estimate and parliamentary committee coordination process, including hearing preparations and post-hearing activities (i.e. Questions on Notice);

• coordinating regular updates on the status of parliamentary inquiry action plans and government responses; and

• building Agency capability by providing regular feedback or conducting regular training activities for agency staff.



Skills and experience required:

• Administration and coordination experience in a Commonwealth environment required and/or experience in working within a Ministerial and Parliamentary Section.

• Proofing and editing skills, with the ability to interpret content and assess if content is fit for purpose.

• Experience in using and administering parliamentary document management systems.

• Demonstrated high level interpersonal, time management and communication skills.

• Entry level checks, including a National Police Check, will be required for all successful candidates.
