The Alliance Française is a worldwide network of over 800 centres dedicated to the promotion of French language and cultures. With locations in the CBD, Chermside and West End, Alliance Française de Brisbane offers the finest French language tuition services to adults, teenagers and children, certifications, as well as social activities, and cultural events. Its signature event is the yearly Alliance Française French Film Festival.

 

THE ROLE

The role is diverse, dynamic and will suit an energetic individual with a confident outgoing nature. It aims to a smooth running of the administration of the institution, of the language classes and activities and of student and member’s registration. The Administration Officer will monitor the efficiency of administration processes and recommend improvements for sectors like student enrolments, membership, private tuition, general administration and staff management. This is a full time position reporting to the Director.

 

Student & Membership administration:

* Monitoring of enrolments, products and sales on the management platform and providing regular updates to the Director

* Processing student enrolments, memberships, event ticket sales, invoicing and payments via online, phone or in person at the front office

* Coordination of the private tuition services

* Database management

 

Customer service:

* Provide information and assistance to students, teachers, staff and members

* Answer the main line phone calls, take messages and respond to emails in a timely manner

* Welcome students, members and general public as they enter the premises

* Provide troubleshooting and address customer requests and complaints

 

Office Administration:

* General office support including coordination of premises, equipment, stationary, and supplies

* Assist with the administration of the supply and services contracts

* Coordination of the front desk services

* Take and dispatch phone calls

* Provide administrative support to the Director

* Day to day bookkeeping and cash reconciliation

* Any other duties as instructed by the Director or Deputy Director

 

 

 

IDEAL CANDIDATE

* Interest in France and the French language and culture (but fluency in French is not a necessity)

* Qualification in office administration

* 1-2 years’ experience in similar role highly desirable

* High level of written and verbal communication skills in English. Ability in French language is an additional asset.

* Intermediate MS office skills

* Basic MYOB skills

* Accuracy in data entry

* Ability to multitasking and prioritisation of tasks in a busy environment

* Excellent customer service and interpersonal skills.

* Must be able to work some Saturdays and occasionally out of office hours

* Be a highly resourceful and personable individual
