Raine & Horne Commercial Brisbane North based in Stafford is a highly awarded, market leader in commercial property and we are currently seeking to appoint an Administration Executive/Receptionist.

You will be working alongside a very dedicated and dynamic team where each day is different.  Raine & Horne Commercial is very process driven and the team have great expectations for themselves and their colleagues. In return they provide a great culture and work environment.

You will be responsible for front desk reception duties and administrative tasks for the team in a deadline-driven environment. The ability to work effectively with all levels of employees and a strong and clear communication style are paramount to this position.

Duties include however are not limited to:

  • Reception duties incorporating taking and noting of accurate phone messages, attending to facsimiles, meet and greet clients as first point of call, general management of reception and meeting room area
  • Collecting, opening and distribution of daily incoming mail
  • Compiling new deal packets
  • Input of property listings and contacts/companies in database
  • Maintenance of database including duplicates
  • Management of returned mail ensuring details are updated within database
  • Completion of title searches, company searches, contaminated land searches, etc as required by sales and leasing executives
  • Drawing up of Form 6s, letters for follow up and thank you letters
  • Management of key register including adding new keys, following up lost keys and signing keys in and out
  • Ordering/monitoring of stationary
  • Taking meeting minutes at company meetings
  • Compilation of necessary reports for weekly team meetings
  • Collation of weekly KPIs for sales and leasing executives to be reflected in Powerpoint presentation for meeting purposes

The skills and experience required to ensure success within this role include:

  • Outstanding phone manner
  • Excellent time management skills and ability to manage multiple tasks simultaneously
  • A solid understanding of the Microsoft Office suite including Word, Excel, Outlook
  • Basic level in Adobe In-design and Photoshop (preferred)
  • Strong organizational and spontaneity skills
  • Work effectively under pressure and meet deadlines
  • Capability to work without supervision
  • MUST have previous experience within a real estate agency environment
