An exciting opportunity has become available to join the Austmine team in Woolloomooloo in an Administration Coordinator & Office Manager position. This role is dynamic and varied, offering the opportunity to be involved in a number of industry projects coordinated by the Austmine team. With a degree/certificate in Administration or Business and 5+ years’ experience working in an administrative, support and/or coordination role, you are eager to advance your career.

Reporting into the CEO, your key responsibilities for this role includes supporting managers and employees through a variety of tasks related to organisation and communication via various online platforms and databases, along with managing incoming and outgoing correspondence by email and phone. You will be responsible for HR and other confidential material including staff files and agreements and co-managing finances and book keeping requirements.

You will be a strong and natural communicator with excellent writing skills and will have a knack for building rapport with a diverse range of people. You are highly organised, efficient and meticulous and enjoy multi-tasking. You will, on a daily basis, be dealing with a range of stakeholders, members and our national team.

Our busy, client-focused office needs a reliable, well-organised Office Manager to handle day-to-day operations, including but not limited to:

  • Assisting the team to improve employee and client retention rates through active communication and problem-solving efforts
  • Database management
  • Government reporting and record keeping
  • Liaising with Government Departments and preparation of documents in line with contract requirements
  • Troubleshooting conflicts as they arise 
  • Ordering supplies and equipment as needed
  • Board of Director’s document preparation and minute taking
  • Main point of contact for staff and Board of Directors
  • Booking all travel requirements and arranging internal meetings on location
  • Reviewing and analysing reports, summarising information, identifying trends in tracking membership
  • Staff record keeping and assisting with recruitment, staff orientation and training where relevant
  • Managing IT and telephones as the main point of contact between external companies and office staff
  • Accounting: invoicing, accounts payable, bookkeeping, and payment runs

You will be able to demonstrate:

  • An administration/business degree or certificate
  • 5 years + experience in an administrative support role
  • Ability to work as part of a team or individually
  • Proficiency in Microsoft Office suite
  • Advanced computer skills (Xero & Illustrator experience a plus) and ability to learn new software programs quickly
  • Basic IT infrastructure understanding and problem-solving skills with ability to assist staff and liaise with external IT and phone companies competently
  • Experience working with a Board and preparation of minutes
  • Excellent written and verbal communication skills
  • High attention to detail
