About The Role:

The Ramsay Pharmacy St Kilda Road office is a busy and dynamic corporate environment where no two days are the same! We require an experienced receptionist/team administrator who is a self-starter with a positive attitude and energy to organise and manage its reception area, office and to provide key administrative support to the management team.

 

Responsibilities:

To be considered for this role, you must have previous experience in a receptionist and administration role, be familiar with telephone systems and demonstrate and understand the importance of both your presentation and disposition in providing the first critical impression to all important external stakeholders of Ramsay Health Care.


Your responsibilities will be, but not limited to:

  • Greeting internal and external stakeholders and advising appropriate staff members
  • Receiving and directing phone enquiries
  • Coordination of boardroom bookings and catering
  • Management of all incoming and outgoing mail
  • Provision of administrative support to senior leadership team, inclusive of diary management, expense reconciliation and other ad hoc administrative tasks as required
  • Extensive travel bookings
  • Daily management of the office including stationery and kitchen items
  • Assisting with event management
  • Management of internal contact lists
  • Collating incident reports
  • Management and distribution of CabCharge Accounts
  • Receiving and directing all website enquiries

 

To be successful in this role you will need the following skills/abilities:

  • Have a positive can do attitude
  • Ability to apply strong time management and prioritising skills to manage multiple tasks and & ability to multi-task
  • Demonstrated ability to manage a busy reception desk and office environment
  • Proven ability to work effectively in a team environment and independently as required
  • Ability to follow instructions and complete tasks within designated timeframes
  • Highly effective communication and interpersonal skills
  • High level keyboard and computer skills including the Microsoft Office suite of products
  • Ability to manage the processing and reconciliation of invoices and corporate expenditure in accordance with the organisation’s protocols
  • Manage and coordinate meeting room and video conference bookings
  • Be a self-starter, reliable and professional
  • Undertake any other duties as required by the team from time to time
  • Previous work experience in a corporate office environment desirable
