Through industry best practice and the control of all key project elements, we consistently achieve and deliver innovative and efficient workplace solutions with our team of in house Design, Project Management, Furniture & Manufacturing, Partitioning and Electrical & Data.

Sheldon is seeking the right candidate with a minimum 3 years' experience in Office Management preferably in the construction industry with WHS knowledge who is looking for ambitions to be part of strengthening our team's abilities to continue to exceed client expectations. 

Strong communication and presentation skills, adaptability for various tasks & attention to detail are essential for this role.

The role of Office Manager is responsible for organising and coordinating the office front desk, assisting the Human Resources Manager and Project Teams in all aspects of administration and management of the office to ensure smooth running of the business.

KEY RESPONSIBILITIES:

Office Management

  • Maintain office efficiency, planning and implementing office systems, and equipment procurement.
  • Purchasing of office equipment & supplies
  • Managing the telephone System, IT Administration & Mobile Phone Administration Management.
  • Liaising with Office security / Building Management
  • Maintaining presentation of the Office
  • Emergency Procedures (Fire Warden)
  • General Office clerical functions
  • Answering Phones
  • Manage incoming and outgoing mail and couriers
  • Setting up of meeting rooms
  • Arrange catering
  • Arranging staff travel requirements
  • Assist in Meetings including Minute taking
  • Maintain and further develop office recording process
  • Assist with Corporate Memberships & Subscriptions
  • Coordinate internal events
  • Manage the fleet of company vehicles
  • Liaise with the QHSE Consultant to ensure certifications are maintained and compliance to relevant legislation
  • Assisting the Human Resources Manager with various tasks
  • Coordinate staff Training

Project Administration & WHS Coordination

  • Coordinate & report project Client Satisfaction
  • Manage project administration tasks
  • Manage the Project Administration Board
  • Audit and manage completed project records specifically related to Work Health & Safety
  • Incidents, Liaison with WorkCover and Insurance matters, and return to work programs
  • Attendance and minute WHS Quarterly Meetings
  • Liaise with external consultants (WHS Specialist & Management Systems) as required
