This is an exciting career opportunity in a fast-paced, entrepreneurial, privately owned travel company.  The successful applicant will be responsible for the provision of efficient and effective Reception duties including the overseeing of all office management related tasks as well as administrative support to the Group General Manager Sales & Marketing and other seniors managers within the Sydney office as well as responding to queries and assisting Managers from Head Office in Newcastle.

Reception and general office duties will include, but are not limited to:

  • managing the reception area providing exceptional customer service to both internal and external clients;
  • responsible for managing all general administration duties;
  • liaison with vendors and suppliers;
  • oversee all contracts regarding supply and maintenance of office equipment and ordering of office supplies including stationery, photocopier, printer, kitchen etc;
  • maintain an effective office filing system;
  • assist and coordinate meetings, functions and events including preparation of refreshments including ordering catering when necessary;
  • oversee general tidiness of office;
  • invoicing and purchase orders;
  • receiving inbound and dispatching outbound mail;
  • maintain brochure stock levels;
  • handling all office maintenance issues;
  • will be required to be part of the WHS committee and be and office firewarden.

Administration duties include, but are not limited to:

  • Providing general administrative support to the Group General Manager Sales & Marketing, General Manager Product Development, General Manager Evergreen Tours, National Marketing Manager, National Sales Manager and Commercial Manager;
  • diary management
  • Support the preparation of executive reports, correspondence, presentations, flyers and newsletters;
  • Assist with the co-ordination of travel requirements;
  • Assist with the preparation of special events;
  • Preparation and distribution of media kits and mail outs.

You will be required to have an understanding of the Microsoft office suite including Outlook, Word, Powerpoint and Excel. 

As a five star organisation and to be successful in the role, you will need to be courteous, professional, highly motivated and genuinely interested in taking ownership of all tasks allocated with the ability to complete all tasks in a timely fashion with minimal supervision.

You will need excellent communication skills, be flexible, have strong time management, be initiative and have a great, positive attitude and a professional presentation.

You will also be required to have at least 3 - 5 years experience in an Administrative role.
