The Opportunity

Offering an opportunity to be part of an organisation committed to helping people get their lives back, we are looking for a passionate, vibrant, customer focussed co-ordinator to join our team. 

Your responsibilities include but are not limited to:

  • Co-ordinate calendars and communications between multiple business units, as well as separate organisations on different systems.
  • Co-ordinate event planning, including room booking across multiple sites in Newcastle, Sydney, Parramatta, and includes managing attendees and catering
  • Provide administrative support to project managers and project officers
  • Deliver effective and efficient messages via E-mail and/or telephone
  • Direct staff to inductions and training rooms and direct external clients to workshops and meeting rooms
  • Work collaboratively with other co-ordinators across multiple locations and organisations to deliver positive outcomes for the project
  • Manage the access, training and upkeep of Sharepoint sites for document sharing
  • Prepare agendas and take minutes in project meetings and distribute to stakeholders
  • Maintain the project folders and ensure all project team members are keeping their files up to date and accessible to the project
  • During key periods of the project, assistance to the training and project launch teams in co-ordination of resource and training facilities across multiple locations
  • Manage project and contractor data, systems and report accordingly

Skills and Experience:

  • Excellent communication skills, written and verbal
  • Accuracy and attention to detail
  • Ability to learn quickly and use time management with minimal supervision
  • Work well in fast paced environment with a project delivery focus
  • Intermediate skills using Microsoft Office products in particular MS Word, MS Excel, and MS PowerPoint.
  • 2 years+ Co-ordination experience
  • Must be professional, outgoing, friendly and confident
  • Excellent customer service and rapport building
  • Previous experience within a multi stakeholder company or project
  • Experience at function / event coordinatio
  • Clerical experience, involving a range of office administration responsibilities
