Established in 2005, Atmosphere Events has built a strong reputation as Adelaide's leading event hire and decoration company. Our focus is on providing service excellence to new and existing clients. We are seeking an energetic, friendly and versatile event professional to join our dedicated team and contribute to the delivery of some of Adelaide's most prestigious private events.
POSITION PURPOSE
To provide professional and effective support to the Atmosphere Events team through implementing and maintaining efficient client liaison, event coordination and administrative support systems
Job tasks and responsibilities
ROLE AND RESPONSIBILITIES
- Responding to all event booking enquiries received by phone and email
- Communicating and meeting with clients to determine their requirements and expectations to ensure the success of the event
- Assisting in the planning, best-practice compliance, delivery* and analysis of client events
- Creating relevant event design and planning documentation (eg: running orders, site maps etc)
- Generating, updating, and following up on quotes
- Liaising with external suppliers
- Maintaining stock inventory listing
- Ensuring all administrative tasks and relevant documents (quotes, event plans, applications, invoices etc) are completed within required timeframes
- Maintaining staff rostering system, accurate payroll and leave records for staff
- Managing petty cash
* Regular business hours are Monday-Friday, 9:30am-5:30pm; some out-of-hours work may be required to assist with events
QUALIFICATIONS AND SKILLS REQUIRED
Essential:
- A comprehensive understanding of the principles of event planning and management, including a working knowledge of regulatory obligations
- Demonstrated experience in the process of planning and delivering an event
- Computer literacy in the use of Microsoft Office products, MYOB, Adobe and other programs as required
- Excellent written, verbal, and interpersonal communication skills; asks questions to provide a clear understanding of client needs and to ensure a high standard of service delivery
- Adaptable, proactive and innovative, with a commitment to continuous improvement and the ongoing development of processes and procedures
- Ability to work positively within a team as well as to effectively operate independently and under pressure
- Outstanding organisational and time management skills, including the ability to work on multiple projects simultaneously, respond to changing priorities and solve problems effectively
- Exceptional attention to detail
- A high standard of personal presentation and professionalism
- An awareness of Occupational Health Safety & Welfare issues, standards and actions in the work place
- A current South Australian Drivers Licence
Desirable:
- A tertiary qualification in event management, marketing or equivalent
- An understanding of Project Management principles and key stages
- A current First Aid certificate
