About the Organisation
The Sydney Harbour Federation Trust is a self-funded Federal Government agency responsible for the conservation and promotion of eight former Defence and special Federal Government lands around Sydney Harbour. Our sites include: Cockatoo Island and Snapper Island in Sydney Harbour, Woolwich Dock, HMAS Platypus, Headland Park including Mosman, Georges Heights and Chowder Bay precincts, Macquarie Lightstation and North Head Sanctuary.
The Harbour Trust wants to create something truly special for these lands - to enhance the harbour and leave a lasting legacy for Sydney. The lands provide an amazing opportunity; they contain historic buildings, areas of pristine natural vegetation, magnificent views of the harbour and a record of our city's Aboriginal, maritime and defence heritage. The cultural heritage of the lands will be conserved, the environment protected and maximum public access provided.
About You
The key accountabilities for this role include:
- Providing high level, confidential secretarial and administrative services to the Executive Director, the Board and Chair
- Managing the interface between the Harbour Trust and the Department of Environment and Energy in Canberra
- Diary management including managing meeting schedules and travel commitments for the Executive Director
- Producing reports, correspondence, presentations and spreadsheets
- Preparing draft briefs, ministerial correspondence, Questions on Notice (QON's) and other documents relevant to the functions of the Executive
- Managing the records and filing system to ensure all records, reports and related material is stored confidentially and easily retrievable
The successful candidate will have demonstrated experience and understanding of administrative functions and office practices at the Executive and Board level. Excellent communication skills, both written and verbal, are essential together with the ability to recognise and be responsive to the needs of internal and external stakeholders and Board of Directors.
You will also have the ability to maintain a high level of initiative, discretion and confidentiality. A thorough knowledge of Federal Government policy and structure is highly desirable. Finally, well developed time management and prioritization skills, and high level skills in word processing, spreadsheet and presentation software packages are essential.
A current driver's licence, motor vehicle and Australian Citizenship (or the ability to work in Australia) are also required.
A Federal Government Police check will be conducted before commencement.
