About the Company

Best Start Clinic (BSC) is a Paediatric Allied Health service, providing Psychology, Speech Pathology, Occupational Therapy and Autism Early Intervention services. We are located in Brighton close to the Bay Street precinct. BSC provides services in clinic, home and educational settings to children with diverse needs, with a strong focus on autism early intervention and evidence-based practice. Our aim is to provide best practice services within our multi-disciplinary team.

BSC is seeking an Administrator to oversee the management of Best Start Clinic’s interface with the National Disability Insurance Scheme (NDIS) Provider Portal and coordinate participant access requirements ensuring BSC’s sustainability as an NDIS provider, through the facilitation of timely and quality data flow between BSC and the National Disability Insurance Agency (NDIA).

The ideal candidate will be friendly, professional and have fantastic organisational skills, attention to detail and high computer literacy.

What you will be doing and will be responsible for:

The role of Administrator is responsible for administering NDIS claims, payments, reconciliations, quotes and service agreements relating to NDIS funding and requirements. The role covers a number of areas and tasks such as

  • Coordinating the referrals of NDIS participants
  • Ensuring new NDIS participants are set up in the correct databases with the relevant paperwork
  • Ensuring service bookings are made through the NDIS portal and communicating to the NDIA with any issues
  • Administer all NDIS requirements such as service agreements, quotes and claims
  • Coordinating participants NDIS reviews and ensuring all reports to the NDIA are completed

Key Responsibilities:

  • Manage the organisation’s interface with the NDIS Portal to ensure timely and efficient quoting, invoicing and remittance and ensure that BSC meets NDIS provider registration responsibilities.
  • Develop and implement BSC Portal management policies and procedures and keep abreast of and communicate NDIS procedural changes, ensuring a sustainable and efficient system, upskilling staff in portal administration as required.
  • In consultation with internal stakeholders, develop, facilitate and coordinate respectful, person-centred administrative processes for participant commencement with BSC services.
  • Engage with participants and where relevant, their significant others and guardians to develop service agreements.
  • Resolve arising issues by working closely with stakeholders, including participants, Government and the NDIA.
  • Develop Service Agreements and Schedule of Supports with information provided by the therapist team
  • Send Service Agreements and Schedule of Supports to families, make changes when needed according to discussions with Regional Coordinator’s
  • Maintain a calendar and schedule of NDIS plan review dates for each participant and notify coordinators when reviews are due
  • Working with the therapist team to ensure all details and information that is entered are current and accurate
  • Create service bookings through the NDIA portal for all participants
  • Assist the leadership team with the preparation of new and current NDIS participants
  • Provide general administrative support to the team within an agreed framework
  • Organise and schedule consultations and meetings as required
  • Respond to service enquiries and requests
  • Establish and maintain filing and record keeping systems and provide support and training to staff in maintaining these systems
  • Communicate and liaise with key stakeholders, services users, families, staff and advocates
  • Respond to enquiries accordingly and liaise with therapists to organise a formal meeting
  • Report to Manager monthly on enquiry numbers and conversions
  • Debt collection/accounts receivable for all clients

‘What you look like’ and need to demonstrate to be successful.

  • A background understanding of the National Disability Insurance Scheme (NDIS) and participant NDIS plans desirable
  • Minimum 12 months experience in administration or business administration or relevant industry experience and demonstrated experience in an Accounts Receiving or bookkeeping role
  • Strong customer service skills and successful experience providing administrative support to multiple clients
  • Bookkeeping experience
  • Ability to establish rapport quickly and easily with clients & service providers
  • Punctual, Reliable and Committed
  • Clear, personable and professional communication, both written and spoken
  • Exceptional attention to detail
  • High-level organisational skills with multi-tasking capability
  • Up-to-date, high-quality computer skills, in particular with word processing, development and manipulation of spreadsheets, presentation and desktop publishing and database management using Microsoft Office suite of products
  • Ability to learn and embrace new online & off-line technologies, systems and work practices as they develop and become available
  • Displays an ‘ownership’ mentality, operating as the ‘eyes and ears’ of the management team
  • Ability to follow direction and take initiative
