About the role

This is a key role combining office management, administrative and reception tasks to ensure the smooth and effective operation of the entire office. 

Key Accountabilities: 

  • General phone and email duties 
  • Ensuring the front desk is manned appropriately during the day 
  • Greeting clients and other external visitors, offering them tea/coffee and building rapport until their meeting commences 
  • Organising catering for meetings when required 
  • All mall and post related activities 
  • Housekeeping matters for kitchen areas, meeting rooms and other common areas including but not limited to loading and emptying the dishwasher, ensuring adequate supplies and general tidying
  • Ordering office supplies, stationary and other appropriate consumables 
  • Managing the third party supply relationships 
  • Liaise with facility management for security passes and building maintenance issues 
  • Organising couriers 
  • Organisation of meeting room bookings 
  • Assisting with the recruitment process through advertising on job boards and coordinating interviews and reference checking
  • Organising internal and external staff events as required
  •  Assisting with staff travel and other related organizational matters
  • Diary management for selected personnel from time to time 
  • Assisting in the preparation and implementation of office policies and procedures 
  • Petty cash and staff expenses
  • General administration, filing and other reasonable task that may be requested from time to time. 

About you

The successful candidate will be an intelligent, organised, hands on team player who thrives in a busy environment.  The ability to multi-task and problem solve and "get things done" with a minimum of fuss is essential.  Advanced computer skills with a positive "can do" attitude essential. 

  • Professional presentation as the role is the face of the Meydan Group 
  • Excellent verbal and written English communication skills
  • MUST be able to work on your own 
  • Proven experience in an executive  assistant, PA, reception, team administration or customer service role
