About the Role

We have an exciting opportunity for a proficient administrator with a highly attuned eye for detail to join our busy occupational medicine practice. This role focuses on coordinating medical bookings and processing high volumes of medical paperwork and results in compliance with legislative and organisational policies and procedures. 

This role is suited to a client and service orientated administrator, who is self-motivated and enjoys working within a team. 

In this role you will be responsible for providing excellent customer service to clients. You will be responsible for booking and monitoring the progress of medicals and following up and collating medical results. You will be accountable for maintaining data integrity and confidentiality at all times, and for completing QA checks on all paperwork before issuing final results. 

This is a fast paced position, which requires timely responses to all bookings and client queries, communicating primarily over the phone or via email, in a professional manner. 

Additionally you will be the first line of contact to troubleshoot client issues and escalate them in an appropriate manner, to ensure that the client is satisfied with the experience and outcomes. 

This role may require work at each of the clinics in response to the demands of the practice. 

The role is full-time, 8am to 5pm Mon-Fri and will be offered for an initial contract of 6 months with a view to long-term for the right candidate, in line with the operational requirements of the business.  

To be successful in this role you will require:

A high level of attention to detail. 

The ability to accurately process large volumes of paperwork, with zero errors, quickly and efficiently to meet organisational KPI’s. 

To maintain confidentiality at all times. 

Strong administrative/document control skills (accuracy in touch typing, data entry, checking, compiling, scanning and generating reports). 

An outstanding phone manner. 

Strong interpersonal communication skills and excellent English communication skills, written and verbal. 

The ability to accurately and succinctly document all communications. 

High level of competency with Microsoft Outlook, Word, Excel and PDF software and the demonstrated ability to learn new software. 

Excellent organisational and time management skills. 

Willingness to work flexible hours when needed, and able to prioritise and multitask. 

To be proactive, with a flexible approach and show strong initiative. 

Previous experience in an administrative, compliance, document control, booking specialist or medical administrator role. 

The ability to work under pressure with minimal supervision. 

Be able to commit to the role long-term and demonstrate good attendance to work. 

Own transport with a 'C' class driver's licence.
