About the Role
Our client is seeking an Operations Manager to take overall responsibility for the day-to-day management of the accounting and administration processes, to ensure the orderly flow of work throughout the firm. The position of Operations Manager is vital to our clients’ growth and profitability and will serve as a direct support for the firms Directors and Team Leaders. Key responsibilities will include:
  1. Workflow management
    • Management of CSCs; including requests for information, following up information requests and entering jobs into the system
    • Management of accountants, to ensure the work gets done on time in the right priority
    • Coordinate allocation of work between in-house and external accountants to achieve the best service for clients Page 2 of 3
  2. Monthly reporting to directors
    • Status of workflow; including work in progress and lodgement progress, on-time lodgement status etc. 
  3. Debtors & Billing
    • Take responsibility for overall management of debtors
    • Ensure WIP is reviewed and invoiced on a regular basis
    • Management of debtor collections including SmartAR
    • Annual client engagement process including moving all clients to a fixed price engagement
  4. Identify and implement best practice procedures across KDA, for both accounting and administration tasks
    • Management of an issues register to deal with matters that arise
  5. Ongoing systems administration (i.e. software)
    • Coordinating upgrades
    • User access and permission management
    • Arranging training
  6. Human resources and performance management
  7. Ensure client data maintenance processes are adhered to
  8. Provide support to Team Leaders and Directors as required
  9. Actively assess\review processes and procedures discussing all recommendations with the Practice Manager
  10. Take part in projects to improve productivity, quality, risk management and service.
To be successful for this role you must have the following:
  • Proven experience in operations
  • Contribute to providing a high level of customer service within a fast-paced
    environment, by co-ordinating effective use of resources
  • Excellent organisational and time management skills
  • Ability to work within a team as well as independently
  • Attention to detail and problem-solving skills
  • Initiative and confidence to improve efficiencies
