An exciting opportunity has become available for a professional Executive Assistant! Your role will provide comprehensive and discreet support to members of the Executive Leadership team based in Port Melbourne.

Reporting to the GGM, key responsibilities include, but are not limited to:

  • Diary management, including arranging meetings and rooms, preparing presentations and projects when required, ensuring facilities (phone conferences, projectors etc) are in place and working, distributing meeting agenda’s, taking and issuing minutes in a timely manner, scheduling follow-up actions as needed
  • Interstate and overseas travel and accommodation co-ordination
  • Maintaining monthly personal expenses and costing of all Manager’s invoices
  • Coordination of board meetings – including logistical arrangements, preparation and editing and timely distribution of papers
  • Organisation and coordination of events, functions and conferences
  • Office Management (Port Melbourne Head Office). Including management of site facilities contracts (cleaning, document destruction, building maintenance, furniture management) ensuring a clean, well maintained and safe environment exists

As our successful candidate you have proven experience providing direct support at an executive level within a large, nationally distributed organisation. You are highly organised with the ability to prioritise and manage multiple tasks at once with excellent time management and a strong attention to detail. You have superior written and verbal communication skills along with advanced skills working with the MS Office suite. Strong IT, numeracy and literacy skills; experienced and capable with expense management systems, on line booking and phone conferencing systems coupled with an understanding of confidentiality and working with discretion along with a proactive attitude is essential.
