Client Details

Our client is a growing and dynamic global company in the professional services industry. They are looking for talented support staff to join their vibrant and motivated team as an Executive Assistant and Office Manager.

Description

The job responsibilities will include:

  • Provide a full range of high quality, timely, confidential and administrative support to the Direct Reports;
  • Support the day to day activities and functions to ensure continuity of work flow;
  • Diary management - including scheduling appointments, conferences and regular meetings - booking meeting rooms and organising catering when need;
  • Co-ordinate travel arrangements;
  • Prompt and accurate in-box management;
  • General admin such as soft copy and hard copy filing, archiving, invoice payments, photo coping, scanning, processing AMEX and ad hoc related tasks;
  • Act as the initial point of contact to directors external and internal clients;
  • Assisting with some HR and training processes;
  • Assist with seminar's and events;
  • Organisation of travel, accommodation and agendas for direct report and some of the wider team;
  • Liaise with external business partners e.g. IT support provider, travel agents, suppliers etc. to maintain consistency;
  • Provide general support for company events/ activities to maximise corporate identity in every occasion;

Profile

A successful candidate will have a high levels of professionalism, great time management and the ability to work in a high pressure environment.

They will have:

  • Strong communication and interpersonal skills;
  • Understanding of high confidentiality requirements;
  • Works collaboratively to achieve a positive team outcome;
  • Organises time and resources to achieve aims;
  • Professional presentation and strong attention to detail;
  • Flexible attitude and ability to remain calm under pressure;
  • Advanced in Microsoft Word, Excel and PowerPoint;
