RHYTHM FINANCIAL
We are a growing Accounting and Financial Services business located in Ashgrove, Brisbane.
We love to utilise technology, freeing us up from the traditional timesheets and admin hack work so we can provide quality customer service.
OVERALL OBJECTIVE
To care for and coordinate administrative tasks related to client services provided by the accounting & finance team. Perhaps the best way to think of the position is as a personal assistant to our advisors. Our goal is to allow the team to focus on delivering our services and for the coordinator to ensure our clients are delighted with the services we provide.
KEY DUTIES & RESPONSIBILITIES
- Facilitate initial steps of the prospective client procedure i.e. phone call and sending information
- Maintain client contact details in our systems, including onboarding new clients
- Prepare Fee Proposals and send Terms of Engagement as directed by advisers
- Liaise with clients to gather source documents and signed documents, and follow up outstanding queries and tax payments.
- Create and track jobs in Workflow system
- Provide requested information to Clients (e.g. copies of Financials and Tax Returns)
- Assist with loan applications and provide requested information to Financial Institutions
- Respond to ATO and ASIC correspondence as requested by advisers
- Liaise with the ATO and clients in relation to outstanding tax debts, payment arrangements, new registrations etc
- Processing electronic lodgements with the ATO and ASIC as required
- Management of ASIC Corporate Compliance
- Collation of reports, letters and other documentation using information provided by the adviser
- Participate in external and internal training as required
- First contact for phone calls, mail collection and kitchen duties

QUALIFICATIONS & EXPERIENCE
- 1 – 3 years office administration experience*
- Excellent skills in Word, Excel, Outlook & Explorer is vital
- Understanding of basic accounting, finance and tax terms would be helpful
