Current Opportunity:

An exciting opportunity exists for an experienced Executive Assistant looking to build and own their next role and grow with a new emerging business stream. You will support the Partners in providing effective and efficient administrative support within the Advisory team.

Duties and Responsibilities:

• Manage and coordinate the diary and schedule of Partners.
• Email management, including drafting emails on behalf of Partners.
• Reply to correspondence on behalf of team and Partner, and draft correspondence.
• Prepare Partners and/or Senior Staff for all meetings including providing relevant information/documentation.
• Proactively managing Partners action item lists following external and internal meetings.
• Effectively prioritises work for Partners.
• Attending meetings, taking detailed minutes of contents and action points; ensuring these are distributed in a timely manner and action points are followed up on by the relevant individuals.
• Assisting Partners to develop and deliver Firm wide initiatives; in conjunction with other staff, Shared Services teams and Executive/Personal EAs.
• Screening telephone calls, enquiries and requests, and handling them when appropriate.
• Incoming and outgoing mail
• Coordinate and manage travel arrangements.
• Assist in preparation of proposal and tender documents, as required.
• Preparation of presentations.
• Marketing support - tagging clients, maintaining client lists, bulk mail outs.
• Maintenance of CRM database for Partners, including reporting and liaising with Partners/Staff to obtain necessary information. CRM reporting as required.
• Assisting Partners in managing Business Development programs and follow up as action items as required.
• Input timesheets and manage expense claims for Partners.
• Maintaining office systems, including data management and filing of all client correspondence.
• Arrange meetings, including booking rooms, catering, tele/video conference facilities. Meet and greet clients, as required.
• Provide financial administrative support, managing billing and reporting of WIP productivity, debtors (as required)
• Organisation of both internal and client events

Qualifications, Skills and Experience Required:

• 3-5 years PA/EA experience within a professional services environment preferred
• Able to make decisions and use own judgement to address issues.
• Skill to manage work autonomously, excellent prioritisation skills and takes a proactive approach.
• Has exceptional client service ethic, sets and achieves high standards, professionally and confidently.
• Creates rapport to build constructive relationships in both formal and informal contexts.
• Adapts to changing workloads, deadlines and developments and maintains composure; helping others to do the same.
• Communicates clearly, concisely and accurately in all verbal and written communications, using appropriate business language.
• Experience with coordinating and monitoring billing
• Experience with multiple executive support
• Advanced knowledge of Microsoft Office suite.
• Knowledge of APS, PIQ, Flexipurchase and Promaster is desired
