Administration Expert  

We are dedicated to delivering specialist lifesaving and asset protection solutions to our clients with the best possible customer experience to add. Due to our ongoing increase in demand for our services, we require an Administration Expert to join our office team.

As an Administration Expert, you will work in a fast paced environment which requires you to be flexible and adaptable. 

Your Key responsibilities:

  • Account reconciliation
  • Aged receivable management
  • Complete job invoicing daily
  • Ensuring that maintenance technicians schedules are ready and maintained
  • Prepare schedule reports for management
  • Answer phone calls and take messages for office staff
  • Auditing and reconciliations of purchased materials.
  • Data entry and day to day management of client database
  • Provide direct support to management and maintenance technicians
  • Planning and preparation of meetings, conference calls and sales products for meetings
  • Front of house greetings and client hospitability
  • General office readiness and organisation daily (opening, closing, office supplies etc)
  • Organize and manage travel requirements
  • Arrange office outings and social events
  • Take minutes in meetings and communicate to relevant stakeholders
  • Maintaining social media and websites
  • Produce company newsletters, flyers and year book
  • Schedule vehicle maintenance 
  • General ad-hoc administrative tasks including but not limited to - Filling, Banking, Posting, Deliveries, Phone receptions, printing/laminating.

About you:

  • Desirable qualifications or proven experience in:
    • Business Administration
    • Booking Keeping (MYOB, QuickBooks or Xero)
  • A high work ethic and approachable manner
  • Able to work autonomously
  • Ability to pick up things quickly
  • A desire to keep busy and always be one step ahead of the game
  • Outstanding phone manner
  • A high attention to detail
  • Can multi task
  • Able to use your own initiative
