Commercial Construction company has a fantastic opportunity for an experienced Executive Assistant / Office Manager. Reporting to the Managing Director and General Manager this varied and interesting job would suit a self-starter, who is not scared to take initiative.

About the role

Accounts Manager

Responsible for checking supplier invoices for pricing, coding, limits, authority and validity. Take up queries direct with suppliers and employees.

  • Input supplier invoices and expense claims into MYOB and reconcile all supplier accounts. This includes input of credit card, air travel and cab charge information.
  • Assist with duties that may arise from time to time, particularly during CEO absences.
  • Make timely payments of all accounts including supplier invoices, re-imbursement to staff, bank transfers, payroll liabilities and credit card usage, in line with company policies, procedures and authorisations.
  • Administer preparation of payroll for authorisation and transmission;
  • Maintain petty cash.
  • Maintain a proper filing system for all transactions, within assigned responsibilities, for audit and accounting purposes.
  • Raise debtor invoices as required.
  • Raise purchase orders
  • Act as the liaison point for the company in relation to building facilities management issues.
  • Receipt and enter invoices into MYOB.
  • Gain authorisation before payment is made and file accordingly.
  • BAS preparation
  • Payables and Receivables are batched and forwarded to Accountant.
  • Technical Analysis
  • Compile cost of sales per job for: Materials and Labour.
  • Develop analysis on Actual versus Budget for total costs of above.
  • Develop systems that support this analysis.

Developing Systems

  • Develop systems for tracking: Financial, Personnel and Marketing information.
  • Systemise tasks and develop procedures for roles
  • Develop Flow Charts (to be inserted into an Operations Manual)

Workplace Health and Safety

  • Ensure all contractors are up to date with: insurances, CM3, safe work method statements, contractor/employee green cards.
  • Be available to respond to all of our obligations related to WHS.
  • Ensure site records are being adequately maintained to support preparation of reports, variations and claims.

Executive Assistant

  • Support the CEO/MD and General Manger for all travel requirements.
  • Time management of diaries.

General Administration & Other duties as required

Salary is between $80 - $90K Plus super.

Skills and experience

You will be able to demonstrate at least three years experience in a similar role including all aspects of accounts payable and receivable as well as payroll. Attention to detail is critical. It's a small team so we are looking for someone who is friendly and a team player. Experience in MYOB and Word and Excel essential. You will also have excellent written and oral communication skills, including the ability to communicate with people from a broad range of backgrounds.

Preferably you will have a TAFE of University accounting qualification.
