Team
We have approximately 50 employees across Australia in three offices. This role is focussed on supporting the Sales team based on the east coast of Australia specifically and as needed, the wider Wood Mackenzie teams across Australia and the wider region.
The Role
Provide professional administrative support to Sales, Client Services and Client Training functions in the Sydney and Brisbane offices primarily, and to other offices and/or teams when required. Provide consistent, efficient and proactive service to all internal and external clients.
Responsibilities
- Supporting our corporate, regional and team objectives, provide administrative support as follows:
- Ensure administrative support is in place throughout the day, working with the wider Admin team to prioritise and follow-up requests
- Professionally handle direct calls to the Sydney office and ensure alternative cover of these calls when necessary
- Coordinate team meetings, best practice and team building events including confirmation of meeting rooms/BlueJeans/VC details, plus support records of minutes and otherwise on the day if necessary
- Arrange travel/accommodation/car hire bookings, research options when needed, arrange necessary visas/sponsor letters/APEC cards if required, and adhere to our travel policy including the approval process
- Submit Expense Claims using Concur, ensuring submission is in line with our T&E policy
- Share knowledge and best practice with the Sales team and wider Australian & regional offices as appropriate
- Track Sales team leave and follow-up absences, adhering to our HR policies
- Represent the team on internal projects where appropriate
- Other general admin tasks when required
