As part of the Culture and Reputation Group, this role provides secretarial and administrative support to the Group General Managers of HSE and Sustainability.

This is a diverse role with involvement in projects including National Community Day and Wellbeing initiatives nationally. Develop relationships across internal and external stakeholders including accompanying GM on site visits.  Develop the role and take on additional responsibilities.

General Responsibilities:

  • Email and diary management
  • Wider team diary co-ordination and management
  • Prepare, review and distribute meeting agendas and meeting action items
  • Preparation of expense claims
  • Process invoices and purchase orders
  • Assist with the preparation and coordination of monthly and quarterly reports to the Executive Leadership Team
  • Organise and co-ordinate events and assist in project management – National Community Day and Wellbeing initiative
  • Off-site visits
  • Attend meetings(including updating, distributing and recording action items at meetings)
  • Book travel as required
  • Assist with induction of new staff or changes to existing staff
  • Responsible for updating intranet and online document library including uploading documents
  • Administer online training modules including establishment of sessions, monitoring completion of training, preparation of reports and responding to queries

Key Personal Skills:

  • Excellent administrative, organisational and time management skills, coupled with strong communication and interpersonal skills.
  • Good attention to detail, and the ability to prioritise your time to ensure consistent and high-quality support to all stakeholders
  • Self-motivated and professional team player - able to successfully work towards individual, team and business objectives

Ideally the role will suit a person with strong interpersonal and communication skills, who builds effective relationships across a diverse range of people.

You will need to be able to adapt to different working styles, be able to assess priorities and manage expectations.  A can-do attitude and team focus is essential.
