The Office Manager is responsible for facilitating the efficient functioning of the Sydney office through a range of administrative, executive support, financial and managerial tasks.

Administrative Support

  • Email and diary management for Head of Australia and Asia;
  • Liaise with stakeholders professionally and respond to changing needs;
  • Anticipating and responding to executive needs;
  • Provide high level administrative support to staff. Prepare, print, bind, edit and finalise PowerPoint/Word presentations; and
  • Liaise with stakeholders to proactively deliver support which may include but is not limited to scheduling and catering meetings, and supporting them with ad-hoc administrative requirements.

Office Support

  • Organise staff social functions, greet visitors, arrange catering, book meetings and other events, and liaise with Finance to manage Sydney office expenditure;
  • Liaise with building management, cleaners and any trades as required in order to ensure the smooth running of the office and facilities;
  • Maintain general office and kitchen environment and supplies;
  • Liaise with IT Support team to assist with the management of the Sydney IT infrastructure and phone systems; and
  • Security – manage and track access swipe cards and ensure security of client and company sensitive information. 

Corporate Service Group

  • Provide corporate service functions which includes but is not limited to, answering the phone and responding to queries, overseeing health and safety in the Sydney office, inducting new staff members when necessary, managing mail/registry duties, filing and archiving, and preparing reimbursement claims, petty cash, and credit card reconciliations; and
  • Arrange travel for Sydney staff and visitors, including booking flights and accommodation for both domestic and international travel.
