The Role

AECOM has an opportunity for an experienced Project Administrator to support Project Managers deliver successful outcomes for the Sydney office.

Utilising your strong attention-to-detail and your ability to proactively manage your workload, you will effectively support the delivery of both project and administration services in a dynamic, outcomes-driven environment.

This role will give you the opportunity to use your well-developed communication skills to work with project teams and liaise with internal stakeholders. You will be instrumental in ensuring the smooth facilitation of workflow for financial and administrative systems. 

The role also provides guidance and support to Project Managers regarding controlling project costs and meeting cost reporting requirements, as well as general administrative support where required.

You will also have the ability to multi-task and support the broad administrative requirements of the office as needed.

Key Requirements:

• Work closely with the Project Manager to keep them informed of the status of projects within the group, highlight concerns and develop solutions for any issues which may arise. 

• Work with Project Mangers to assist with development and coordination of project procedures to ensure the efficient cost control of projects, including the recording, controlling forecasting and reporting of all financial matters

• Assist with Invoicing, Project Setups and Variations where required

• Ensure input for all new projects and modifications is completed into Project System. This includes:

- EACs (Estimates at Completion) completed.

- Status Report (weekly/monthly).

- Debtor Follow up & WIP maintenance.

- Prepare weekly project reporting including weekly issues Register

• Assist other Project Administrators and Business Lines as directed by the Operations Management Team

• It is expected that project administrators will rotate between different business lines periodically to help develop a complete understanding of the entire business

• Collaborate closely with the Project Finance team

• Other duties as required

About You

• Relevant experience providing project based administration support in a similar role

• Advanced knowledge of Microsoft Office Suite particularly Word and Excel

• Proven track record in driving others to adhere to applicable processes and procedures

• Client and solutions-focused approach

• Strong communication and interpersonal skills

• Previous experience in the engineering consulting or professional services environment would be advantageous

• Previous experience in a commercial aspects of contract reviews

• Ability to listen, clarify, understand and efficiently undertake directions

• Well presented, approachable and with a professional attitude

• Punctual and reliable

• Highly organised

• Able to follow process
