T garage is a rapidly expanding market research and strategy agency based in South Melbourne.

An opportunity exists for a proactive and resourceful Office Manager to join the T garage team in a casual capacity (with a view towards permanent part-time). We are looking for a friendly, professional, self-directed individual, who will proactively make this role their own, and make our office run like clock-work.

Your personality resonates with a broad range of people, from clients to respondents, colleagues and suppliers alike, whom you treat with the same level of respect and professional warmth.  You take pride in your work, get the job done, and promote a positive, proactive vibe. You bring the same attitude to sorting out the dishwasher and water filter, as you do to being involved in an executive event.

KEY RESPONSIBILITIES & DUTIES

  • Greeting clients and managing incoming calls;
  • Inbox management;
  • Answering calls and managing enquiries;
  • Organisation of stationery orders and kitchen supplies;
  • General office maintenance of a busy corporate office;
  • Management of travel bookings – flights/accommodation, expenses;
  • Event management, catering, and room set up for client and colleague meetings;
  • Management and coordination of office access for colleagues, contractors and guests;
  • Welcome and induction of new colleagues;
  • Liaise with service providers and building maintenance;
  • Any, and all other administrative tasks to make the business run smoothly.

CORE COMPENTENCIES & SKILLS

To be successful in this role you will possess:

  • Excellent communication skills, both written and verbal coupled with interpersonal ability;
  • Strong organisational and time management ability, regularly managing multiple competing demands to deliver to service expectations;
  • A positive and friendly attitude with an ability to adapt to changing circumstances with maturity and professionalism;
  • Strong customer service focus with an ability to build relationships;
  • A strong eye for detail with a focus on aesthetics;
  • Advanced MS Office skills

Other desirable experience:

  • Previous office management and administration experience in a professional services environment;
  • Experience coordinating travel and events;
