The Role

Assist significantly in day-to-day activities of the Information Management Team and to contribute to the efficient and effective functioning of the team.

Tasks include but are not limited to:

  • Mailroom functions – sorting and opening of incoming mail.
  • Registration of incoming correspondence, mail, applications and the like - indexing, scanning and registration of correspondence.
  • File Management – creation and tracking of files.
  • Internal mail delivery as required.
  • Timely response to enquiries received.
  • Contribute to team meetings and workshops.
  • Assist in the preparation of programs within Corporate Information Team to ensure the timely and effective completion of all work.
  • Provide feedback within the team environment on improvements in operating procedures and systems.
  • Respond to directions arising from audits and review in respect of the registration process or other records management functions.
  • Continual self-assessment of work to ensure quality and output of work is of a high standard
  • Other duties as requested by Team Leader Corporate Information and/or Coordinator Information Management.

This position requires an individual who possesses:

  • Relevant Tertiary qualifications or willingness to study for required qualification
  • Current Class C Driver's Licence.
  • Previous experience working in a Records Management environment
  • Previous experience using an Electronic Records & Document Management System
  • Previous experience using large format scanners and other scanning devices
  • Knowledge of the State Records Act 1998
  • Manual handling – retrieving files from shelving, boxing of records and lifting of these boxes are an essential part of this position
  • Strong and effective communication skills , build effective interpersonal relationships
  • Ability to plan and prioritise work
  • Good attention to detail
  • Computer literacy
