Vivacity RTO Coaching & Consulting has been working with over 300 Registered Training Organisations (RTO) and International Student Institutes (CRICOS) all over Australia since 2009, providing consultation and coaching services to assist our clients with either setting up as a new provider, preparing for re-registration, prepare and apply for Addition to Scope, undertake Assessment Validation and general consultation. We also provide training in compliance and business development to help our clients to succeed in the Training industry.

About the role

This position is the key support role to the CEO and the team, providing administration support, as well as being the first point of contact for our clients and potential clients, providing outstanding customer service.

You'll be working in a very down to earth, friendly business located in the Northern Beaches and will get plenty of experience:

  • providing administrative support to our team of experts
  • working with complex documents
  • coordinating and booking travel arrangements for the team
  • coordinating and providing support to our membership clients
  • coordinating workshops and webinars
  • taking responsibility for assisting clients with queries and requests
  • learning about the rewarding industry of domestic and international training and compliance

Key Selection Criteria

Essential

  • Certificate III in Business Administration or equivalent experience
  • Highly developed time management skills including the ability to prioritise tasks and work quickly and effectively to meet tight deadlines
  • Organisational skills with demonstrated ability to multi-task, plan and prioritise work according to strict deadlines
  • Flexibility and willingness to undertake a wide range of office tasks
  • Demonstrated ability to work within a team
  • High level of oral and written communication skills
  • Intermediate skills and experience in Microsoft Office (including Word, PowerPoint, Publisher, Outlook and Excel) email and the internet
  • Experience in designing and developing complex reports and documentation
  • Demonstrated experience in touch typing with a speed of 45+ wpm with 98% accuracy
  • Strong attention to detail with quality, over quantity, being a priority
  • Flexibility and willingness to undertake a wide range of office tasks
  • Demonstrated ability to work within a team and independently
  • Demonstrated experience in providing excellent customer service
  • Excellent presentation skills, including the ability to ensure that all work spaces are kept neat and tidy

Desirable

  • Experience working within a Registered Training Organisation
  • Experience with Xero or similar accounting software
  • Experience with InfusionSoft or similar customer management system
  • Skills and knowledge in graphic design and/or desktop publishing
