Our client is a NASDAQ listed, global software as a service (SaaS) leader that has transformed the wellness services marketplace globally.

This is an exciting opportunity to be at the centre of the action within their dynamic and growing Australian business and work to support the Australian GM - a well respected leader who is renowned for empowering and helping to develop staff

Role and Responsibilities

The EA will have a broad scope of responsibilities including schedule management, coordination of travel and events, project planning, drafting of communications, gathering data and preparing information for reports

This includes:

  • Manage an active calendar of appointments for the General Manager, Australia
  • Arrange meetings with many people and sometimes numerous competing schedules. 
  • Maintain a high level of discretion and confidentiality with internal and external “clients” 
  • Communicating professionally in writing and verbally across all levels of the company.
  • Utilise an intermediate knowledge of Excel and other reporting programs to access, process, and format data on standard and ad hoc reports.
  • Compose, prepare, and proofread correspondence and presentations
  • Prepare documents for daily meetings, format for review and signature.
  • Prioritise conflicting needs; handle matters expeditiously, proactively, and follows through on projects to successful completion 
  • Assist with the budgeting process and budget tracking, including deadlines
  • Make travel arrangements, prepare detailed itineraries, and provided the needed confirmations.
  • Plan and execute special projects such as departmental or company events, offsite meetings, and team buildings.
  • Create purchase orders, maintain databases, create reports, track spending, file paperwork and perform other administrative duties. 
  • Provide general office management support

Skills and Experience

  • Prior experience of providing EA support to a senior Executive
  • Strong organisational skills that reflect ability to perform and prioritise tasks seamlessly with an excellent attention to detail.
  • Bachelor's degree an advantage 
  • Expert level written and verbal communication skills
  • Intermediate level knowledge of Microsoft Office including Outlook, Excel, Word, and Power Point.
  • Proficient with printers, scanners and other office tools and technologies.
  • Demonstrated ability to handle sensitive, confidential information and situations with tact and diplomacy.
  • Excellent interpersonal skills and the ability to build relationships with all stakeholders
  • Ability to work autonomously with little direction in a fast paced environment.
