Veolia is a seeking an experienced Project Administrator with a strong level of SAP experience to join our Engineering team. You will provide administrative support to the Head of Engineering, Project Directors and Project Managers responsible for the delivery of NSW Major Projects. 

Liaising directly with the Head of Engineering and other support functions, including legal and accounting, you will take ownership of monthly reporting to stakeholders, manage project risk registers and project cost planning of the NSW Major Projects.

About The Role: 

Project Administration 

  • Review contractors schedules, invoices and reports in order to track overall project earned value and completion date.
  • Manage project risk registers and overall project schedules
  • Write monthly reports including projects cost planning
  • Assist Project Director and Project Managers with:
    • Completing checkpoint reports and other project management deliverables 
    • Maintenance of project schedules, reports and registers 
    • Assist in establishing Project Plans and procedures
    • Following up project action items, document signoffs, etc. 
    • Electronic and manual filing of project documentation 
    • Co-ordination of project meetings and working groups including taking minutes
    • Assemble regular project management reports to senior management 
    • Maintain programme budget information 
    • Process purchase orders and invoices 
    • Record any comments or issues that may require further investigation.  Inform Manager accordingly 
    • Prepare reports in accordance with Veolia guidelines and procedure

Contract Management

  • Provide Contract Administration support including:
    • Managing rights and obligations of contract
    • Managing monthly reporting requirements
    • Run progress meetings
    • Monitor contractor progress to schedule and budget

Working Relationships (Internal/External)

  • Maintain effective working relationships with other members of the team and personnel in other departments as appropriate 
  • Ensure Head of Engineering is kept informed of issues
  • Attend and participate in regular team meetings 
  • Maintain an effective relationship with and assist external parties as required

Qualifications and experience:

  • Tertiary qualifications in Business Administration/Financial Services, or equivalent workplace experience
  • Demonstrated SAP software experience, mostly in organising project Work Breakdown Structures (WBS), project expenses (forecast vs actuals) and financial reports 
  • Demonstrated experience within a project administration position, or similar, within a multi-million dollar projects environment
  • Demonstrated experience within a project management development, deployment, administration and corporate governance
  • Additional IT Competence in Microsoft Office, Word, Excel and MS Project
  • Knowledge and understanding of Workplace Health and Safety legislation and regulations specific to the area of work.
  • Driver’s license (preferred)
