We are looking for a Team Admin Assistant to join our growing EduTech startup team and help us take our game-changing eLearning design and production tool and services, Guroo Producer, to the world.  We have had recent success in gaining some major blue chip clients and we need the help of an energetic and admin assistant to join our team . You should have experience working in admin role, preferably in a team environment. You will be a team player with excellent written and verbal communication skills, attention to detail and thrive on producing high quality work and keeping things moving. The role offers a lot of variety as it assists both the CEO and Learning Services team in day-to-day business admin tasks and with client deliverables.  

Key Responsibilities

Business & Sales Admin

  • Invoicing and expense reconciliation in Xero
  • Preparing quotes based on standard price list
  • Maintaining prospect and client records in Hubspot CRM
  • Sending follow up emails and EDMs using Hubspot CRM
  • Assisting in the preparation of sales presentations (PPT formatting)
  • Coordinating meetings, events and conference attendance
  • Coordinating award submissions (written by learning designers)
  • General marketing administrative tasks in Hubspot

Client Project Admin

  • Reviewing and allocation incoming work requests
  • Maintaining backlog/list of client work with the  team
  • Helping team to prioritise deliverables and helping to ensure on time delivery
  • Assisting in desktop publishing of Powerpoint and word documents
  • Text changes to indesign files
  • Quality assurance of teams work

Will also consider part-time applicants (4 days).

Essential skills and experience

  • Process oriented and an eye for detail
  • Excellent written english including spelling and grammar
  • Excellent organisational skills
  • Advanced PowerPoint skills including an eye for layout
  • Advanced word formatting skills
  • Experience preparing invoices and reconciling expenses, preferably in Xero
  • Experience maintaining client contact lists and records
  • Experience coordinating meetings and small events

 

Desirable skills and experience

  • Basic Indesign skills
  • Hubspot CRM admin experience
  • Basic graphic design (not essential)
