As a leading behavioural-based marketing agency specialising in Gift Card Rewards & Digital Marketing services, located close to the Melbourne CBD and we are seeking  an experienced full-time Client Services Assistant to provide support for key client services functions, first point of client contact, management of our Reward Programs, processing and delivery of orders, reporting in XERO, providing customer service to customers, and assisting operational staff as required to meet client needs.

This position is an integral member of the Client Services team and working closely with our Customer Success Manager and operation staff to maintain accurate client data and provide seamless, professional and timely client support.

The ideal candidate will be extremely detail oriented, have the ability to contribute and work well in a team environment and demonstrate a strong commitment to providing excellent service to internal and external clients.

Primary Duties and Responsibilities

  • Work with client services team, production and IT staff to provide accurate information;
  • Database management – create and maintain databases using Excel and Access
  • Import databases into Access Master and manage weekly reporting 
  • Process client orders in a timely manner and provide high level of customer service
  • Generate weekly fulfilment mailings and provide customer reporting
  • Create, manage and maintain physical client services files, as necessary;
  • Assist clients and process requests via email/phone;
  • Manage client services policies and procedures, develop systems and processes to provide continuous improvement
  • Project management of DM campaigns from concept to implementation
  • Supplier liaison /Quoting
  • Raising Supplier purchase orders in Xero
  • Monitoring stock supplies
  • Coordinating work flow within the production division
  • Planning & Scheduling
  • Administration/reporting

Job Requirements

  • Minimum 3 years experience in an admin or similar role, demonstrating a sound understanding of Databases and ADOBE products
  • Previous experience in managing multiple projects simultaneously
  • Well organised with great attention to detail, as the role can be very fast-paced and the ability to prioritise is required
  • Desire to provide exceptional, solution oriented client service;
  • Excellent interpersonal skills with the ability to foster strong relationships with internal/ external clients;
  • Combination of related education, training, and work experience;
  • Demonstrated accuracy, strong attention to detail and ability to follow through on repetitive processes;
  • Strong computer skills with proficiency in reporting and database management,
  • Microsoft Office applications (Advanced Excel and Microsoft office skills)
  • Ability to work independently and collaboratively;
  • Strong organisational skills, ability to manage competing priorities in a fast-paced environment;
  • Demonstrated flexibility and initiative;
  • Strong written and verbal communication skills, and A high care factor!
  • Basic understanding of marketing operations
  • Willing to assist other staff  in all areas of the operation / service as required

To succeed as Client Services Administrator you will need a solid understanding of administration, Customer Service, advanced Excel skills and willing to assist  all staff in their roles.

This position will include managing client reward programs, client relationships, requests and financial management. You will need to demonstrate effective project management skills, with the experience of working on many projects at once and meet the Key Requirements.
