Status: Full-time 38 hours a week. Fixed Term contract ending 30 June 2019 (with likelihood of extension pending funding continuation)

Position Overview:

The Contracts Administration Assistant is responsible for supporting the Contract Compliance Manager in carrying out administration tasks in relation to contracts.  You will need to ensure information is accurately recorded, contracts are escalated promptly for approval and are monitored for changes, additions and compliance against all NDS government and non-government funded contractual obligations.

Key roles and responsibilities:

  • Assist with central contract compliance functions to support NDS’s business functions
  • Maintain contract spreadsheets
  • Draft simple contracts, using standard NDS templates (supervision / training provided)
  • Monitor contractual obligations and status of contract performance
  • Arrange for contract sign off / following up with key stakeholders on unsigned contracts
  • File contracts (softcopies and original hardcopies)
  • Assist with contract related invoices
  • Assist with quarterly compliance reports to the Chief Executive and the NDS Board
  • Raise contractual concerns and potential issues with the Contract Compliance Manager
  • Assist with archiving of contracts
  • Assist with review of invoices/financial documentation related to contracts
  • Other duties as required

Key Attributes

  1. Interest and understanding of the meaning and detail within contracts and funding agreements
  2. Basic understanding of legal terms found in Funding Agreements, Consultancy Agreements, Service Agreements, and Leases (or willingness to learn
  3. Ability to understand an invoice/financial documentation
  4. Records and data management experience with meticulous attention to detail
  5. Clear and concise communication skills, both verbal and written with ability to prepare correspondence as required
  6. Ablility to effectively communicate with internal and external key stakeholders on various levels
  7. Demonstrated task and time management skills with the ability to organise and complete multiple activities within established timeframes
  8. Motivation to function independently yet take direction as required
  9. Ability to keep calm and work under pressure
  10. Ability to work as part of a small team
  11. Computer literacy including Microsoft Office Suite (particularly word and excel)
