Where you will be working…
This is an exciting opportunity to join one of Australia’s leading advisors for developers, property owners, investors, NGO's and community groups in their CBD Head Office. Located in the heart of Brisbane CBD this firm is looking for a down to earth, driven and highly organised team assistant/secretary.  If you are an experienced secretary or administrator we have the role for you! 
  
What you will be doing…
In this unique role, you will provide a high level of assistance to department directors in the Planning Team and your duties will include:
  • Managing and monitoring of emails, diary, conference, and meetings room bookings, catering and video conference arrangements
  • Act as a staff and client interface for the directors and team members
  • Entry of disbursements into the CRM
  • Creation of relevant expense reports on behalf of Directors including reconciliation and entry of expense items and receipts
  • Organise travel arrangements including flight and hotel bookings, car hire arrangements, and another transportation arrangement 
  • Coordinating team meetings, marketing activities, events and resources
  • Report and document preparation including; compilation and formatting, word processing, data entry support and excel formatting;
  • Coordination of tender responses and document production 
  • Coordinator the preparation of project sheets and lists as required
  • Assist with the teams weekly monitoring and reporting
  • Provide general office administrative support and reception relief of other team assistants when required
  • And much much more! 
Do you have what it takes…
To succeed in this role you will have at least 3-5years’ experience in a similar role. It is imperative that you have advanced Word & Excel processing skills to be successful in this role. You will have a demonstrated ability to work to and meet tight deadlines and project requirements. In previous roles, you would have worked autonomously but as apart of a larger team achieving a common goal. Your superior comm skills coupled with your high level of attention to detail is what is needed! It goes without saying you will be someone who has a high level of maturity, patient, super friendly and is an all-rounder. This is a busy role and you will be the 'go-to' person for this team!  It would be an advantage if you've worked on tender submissions as an administrator or coordinator, a keen eye for detail is a must!
