About the business and the role

The Student Support / Receptionist Officer is a key educational position that drives learner satisfaction and outcomes through the provision of first class support including:

  • Management of student administrative queries
  • Implementation of initiatives to re-engage inactive learners

The Administrative / student support officer is responsible for academic administrative services. This includes overseeing the administration staff, some marketing and social media responsibilities, student engagement activities, Student Administration, reception, coordination of administrative activities, student support & counselling and student services. This would include the development of action plans, and effective implementation, to support achievement of operations strategic objectives.

Job tasks and responsibilities

MAIN ROLE & RESPONSIBILITIES 

  • Maintain student physical and electronic records on systems and databases
  • Provide sound customer services to students, including reception services
  • Attend to student enquiries before referring to senior staff or other departments
  • Assist in the continuing student progression and re-enrolment
  • Assist in the organising of student orientations
  • Assist in the preparation and dispatching of student documentation, including general letters
  • Assist in the preparation for graduation ceremonies, including recording and distribution of academic documentation
  • Process student applications, including updating records and databases and communication of outcome to student and stakeholders
  • Maintain communication with students by sending mass mail out of information to students via RTO Manager, mailchimp or any other appropriate means
  • Participate in student engagement and feedback forums, e.g., student representative meetings
  • Adhere to Company, State and Commonwealth legislations and requirements as an education provider to overseas students
  • Any other duties as designated by the Student Services Manager and or the Registrar

SKILLS AND EXPERIENCE

Excellent administrative, time-management and organizational skills.

Ability to work as part of a team as well as independently.

Adaptive to change.

Experienced in Microsoft Word, Excel, Outlook, systems and databases.

Commitment to the principles and practices of good customer service and continuous improvement.

Willingness and ability to work with people with diverse cultural and linguistic backgrounds.

DEMONSTRATED EXPERIENCE IN  

Using Provider Registration and International Student Management System (PRISMS) for various reporting of student enrolment variations to the Department of Education and Training

Working in an administrative environment in the education industry for at least 1 year; The use of computing software including Microsoft Word, Excel, PowerPoint, Outlook; desirable: basic to intermediate Microsoft Access skills and intermediate Microsoft Word and Excel skills.
