About the role:

An exciting permanent part-time (Monday to Friday, 45 hours per fortnight) opportunity is currently available for an experienced Administration Officer with Workplace Health and Safety experience to join our Head office team. The purpose of this position is to provide effective and efficient administration support to the Work, Health, Safety and Injury Management team to ensure the objectives, goals and outcomes of the team are achieved in a timely manner.

  • Provide confidential, efficient and timely support to the National Manager OHS&R and members of the WHS&IM team to ensure coordination of meetings, reports and assists with management of diary/calendar to ensure up to date and current.
  • Assist with and at times prepare monthly statistical reports in excel, and PowerPoint presentations as required
  • Work with the National Manager OHS&R and WHS&IM team to maintain and control an electronic and paper document management system for WHS to ensure documents are filed and can be sourced in a timely manner.
  • Undertake data input activities and administer all local WHS related databases and spreadsheets to ensure they are accurate, up to date and can be accessed as required.
  • Perform general administrative duties including copying, filing and records maintenance, completion of forms (such as processing orders and claims for payment), registering and distributing mail and correspondence according to established procedures.
  • Coordinate travel and accommodation bookings for WHS&IM Team members in conjunction with Corporate Services to ensure seamless business operations.
  • Be vigilant for situations that may cause a safety risk and take steps to minimise the risk by identifying and reporting potential hazards in the workplace to the Supervisor.
  • Report any accidents and incidents to Manager immediately or as soon as possible to ensure investigation occurs in a timely manner and appropriate controls are identified and implemented to prevent recurrence.

About you:

  • Sound knowledge of computer applications, i.e. Microsoft Word, Internet relevant to the role to ensure work is completed in a professional, accurate and timely manner.
  • Demonstrated written and verbal communication skills, including stakeholder engagement, to ensure clear and concise information is presented to the team, manager and customers.
  • Proven ability in the use of database and records management systems to ensure information was accurately captured and extracted for analysis and other purposes.
  • Demonstrated problem solving skills, to successfully identify problems, develop solutions and implement these using a logical and systematic approach.
  • Exceptional organisational skills with an ability to prioritise tasks to achieve tight deadlines;
  • High levels of self-motivation, drive and initiative combined with the ability to adapt to changes in circumstances; &
  • Proven ability to work effectively in a team environment and independently as required;
