Reporting into the Chief Information Officer the IT Finance Administrator will provide financial administrative support to the IT-Shared Services Leadership Team through purchasing, vendor account management, analysis of financial reporting, ensure accurate accounting and allocation, budget control and monitoring, asset management as well as liaison with Shared Services Accounts, Purchasing, Accounts Payable and Reporting Teams.

Responsibilities will include, but not be limited to: 


Financial Administration: 

  • Administer purchasing, goods receipting and invoicing of IT related goods and services. Advise IT-Leadership members on vendor payment issues and invoices and act as liaison point with all related parties 
  • Liaise with Purchasing and Accounts Payable where applicable on payment issues, accuracy of invoices and claims from vendors 
  • Ensure Project Managers submit their invoices correctly and advise them of any deviation from the process 
  • Maintain accurate setups in SAP for related financial objects such as cost centres and Internal Orders. Ensure reporting accuracy on Asset Management information 
  • Document and maintain financial process and liaise with team members (Project Managers and others) on adhering to operational and capital expenditure policies and processes 
  • Provide budget support and ensure expenditure is contained within budget limits and planning for Operational and Project Finance 
  • Possess a very thorough knowledge of large vendor accounts and advise of potential issues in a timely manner
 
Asset Management: 
  • Manage and control the IT related stock items held with Service Desk to ensure accurate reporting and cross charge and efficient stock levels 
  • Liaise with Finance on Asset Management practices, depreciation, Assets Under Construction and ensure accuracy of these as well as Balance Sheet items where applicable 

Reporting: 
 
  • Liaise with Finance on cyclical and annual financial reporting and ensure correct allocation of expenses, charge-outs and credits 
  • Assist Project Managers and IT-Leadership with reporting on expenditure and budgets 
  • Perform analysis and build reports for ad-hoc requests for IT-Leadership 

 Finance System Support: 
 
  • Create and maintain Project and Finance related cost objects in SAP 
  • Maintain and act as Systems Admin on the Portfolio and Project Finance tool (Innotas) 
  • Liaise with Innotas on setting up and assist PMs in creating timesheets, projects etc. 

Qualifications and experience:

  • Degree or equivalent in business or IT-discipline preferred 
  • Accounting qualification (CPA/CIMA) and experience is desirable  
  • Minimum 2 years experience in a similar or related role 
  • Knowledge of accounts payable, accounts receivable, general ledgers, financial reporting, budgeting and asset management, accounting 
  • Use of SAP (FI/CO & MM) is essential and SAP S/4HANA exposure is preferable 
  • Working with large vendor accounts is essential 
  • Exceptional attention to detail 
  • Ability to analyse accounting procedures 
  • Strong analytical and problem solving skills 
  • Effective verbal and listening communications skills 
  • Outstanding organised individual 
  • Effective written communications skills
