About the role

We are currently seeking an Administration Officer to join our Assets team located in Hamilton, on a 6 month full-time fixed term contract. Reporting to the Executive Manager Technical and Property Services, you will be responsible for delivering a range of quality administration tasks.

Key Responsibilities include:

  • Ensuring contractor compliance documentation are valid, up to date and entered into Greentree;
  • Ensuring insurance claim reports are lodged with appropriate bodies, tracked till close.
  • Meeting minute taking and distribution of meeting agenda and documentation for meetings.
  • General administration duties including word processing, data entry, filing and archiving;

About You

This is a dynamic and at times demanding role you will be a savvy multi-tasker with high attention to detail, possess excellent communication and interpersonal skills and have a proactive approach to all your tasks.

You will have a proven track record in providing high-level executive assistance and be able to adapt readily to change, will be highly regarded.

You will have demonstrated experience in working with a diverse range of stakeholders in a highly confidential environment, preparing and distributing meeting minutes and be able to adapt to changing requests and deadlines.

Essential Selection Criteria:

To be considered for this role, all applicants must address the following Selection Criteria:

  • Minimum 2 years’ experience working in a fast-paced administration role including high volume data entry;
  • Strong communication and interpersonal skills;
  • Demonstrated high attention to detail and the ability to use initiative and meet deadlines;
  • Sound knowledge of Microsoft Office Suite in particular WORD, Excel and Outlook coupled with strong grammatical and document formatting skills;
  • Experience in taking detailed and accurate meeting minutes;
  • Demonstrated understanding of sustainability through contributing to more efficient workplace processes
