The role

We have an opportunity for an experienced Project Assistant to join our professional team in Melbourne. The Project Assistant will provide administrative support across multiple projects to ensure their successful delivery. They will also support the Head of PMO in developing processes, policies and procedures for project delivery.

Key Responsibilities include:

  • Provide administrative support the Project Managers and project team to maximise productivity;
  • Sets up all necessary project plans in conjunction with the Project team;
  • Maintains, adapts and distributes the project schedules;
  • Assist with administration of project reporting and supporting resource planning;
  • Track milestones, and identify and schedule progress claims/invoices;
  • Collate information from different stakeholders and populate the project reports templates for internal stakeholders as well as customers and suppliers;
  • Participates in project meetings where necessary, including taking and distributing minutes;
  • Coordinate project related correspondence and document control;
  • Support the development and updating of project related processes, policies and procedures; and
  • Support the Quality Manager on the planning and execution of projects audits.

About you

The successful candidate will possess the following:

  • Minimum 2 years’ experience in a Project Support or Administration role;
  • Tertiary qualification on Business, Project Management or similar advantageous;
  • Experience in an Engineering, Infrastructure or similar environment advantageous;
  • Demonstrable experience in document controlling;
  • High level of computer literacy and knowledge;
  • Intermediate to Advanced Microsoft Office Suite, including MS Project;
  • Strong administrative skills coupled with superior attention to detail and the ability to identify errors and rectify them; and
  • Great degree of professionalism and judgement with the ability to maintain a high level of confidentiality.
