About the company:Established in 1995, this is a market leading private family investment company located in the heart of the Sydney CBD. They have a diversified portfolio and operate across a range of big, exciting brands and industries – everything from private equity, to fashion to property.
About the role:
Reporting to the Managing Director & Executive Director, the successful candidate will perform Executive Assistant duties primarily for the Executive Director and ad-hoc general support duties for other managers in the office, acting as a backup to the current EA.
Day-to-day duties will include but not be limited to:
- Report and documentation preparation – typing, collating, editing
- Management of schedules, calendars and appointments
- Coordinating travel arrangements
- Management of incoming calls, emails and correspondence
- Organising, drafting and maintaining correspondence, presentations and records
- Proactively following up on pending matters
- Routes or answers routine correspondence not requiring the ED’s attention
- Effective monitoring and actioning of email requests, responding to enquiries
- Receives and screens telephone calls, letters, and/or visitors for the office
- Answers routine questions, obtains and furnishes information to save ED’s and the teams time
- Maintains a level of confidentiality when dealing with requests
- Expense reconciliation and admin support to the accounts department
- Organises functions and events
- Back-up EA support for MD & Chairman
- Liaising with joint venture partners and stakeholders at all levels
- General Office Management (stationary, groceries, IT etc)
- Personal errands
Skills & experience
- You will ideally have 2 to 4 years Executive Assistant Experience, with longevity on your CV.
- Outstanding communication and the ability to establish rapport; excellent written and verbal communication skills.
- Ability to maintain confidentiality; and be proactive and be able to use your initiative
- Advanced in Microsoft Office suite - Immaculate presentation as you are client facing
