The Role

We are currently seeking a highly organised Personal Assistant to assist the Head of Workers Insurance Managed Funds in their day to day requirements, including the co-ordination & management of administrative functions, travel arrangements, diary management and HR administration. This role is a max term contract role, based in our Sydney office for 6 months.

Key Responsibilities

  • Effective diary management including proactively managing conflicts and priorities
  • Monitoring emails
  • Co-ordinating travel and accommodation arrangements
  • Meeting preparation including scheduling meetings, workshops, arranging teleconferencing and video conferencing
  • Monthly AMEX reconciliation, processing staff reimbursement and tax invoices
  • Attending meetings to take minutes and record action items
  • Co-ordination of social/networking functions as required
  • Internal and external senior stakeholder engagement on behalf of Head of Workers Insurance Managed Funds
  • Ad hoc administrative and project support as required

 

The Requirements

To be successful in this role, you will demonstrate:

  • Proven experience in a similar role within a busy corporate environment
  • High level of organisational skills with the ability to co-ordinate a busy diary and manage conflicting priorities
  • Confidence liaising with senior internal and external stakeholders
  • Display and work with a sense of urgency, yet possess an eye for detail.
  • High level of customer focus, demonstrating an ability to manage all stakeholders as customers to provide a high level of service.
