This role is the key Administration role and Office Manager for a busy Architectural business.
The role's responsibilities include, but are not limited to:
- Administering our internal accounting and billing systems and working closely with our external accountants to ensure accurate and timely reporting to management
- Performing many, varied administrative tasks as required
- Creating an effective relationship with our clients in the way we greet them in the office, talk with them on the phone or respond to their emails
- Maintaining a positive practice culture to ensure our busy practice runs smoothly including organisation of staff and client events
- Processing of payroll and superannuation in a discreet manner
- Monitoring of debtors and payment of creditors and consultants
- Ensuring all insurances and certifications are up to date and arranging new policies and/or renewal processes as required
- Assisting managers with maintaining Office and Quality Assurance manuals including forms, policies and procedures
- Inducting new staff into our Office Management system
- PA duties to the management team as required
To be successful in this role, you must meet the following criteria:
- Experience in managing the administration aspects of an office, including financials, payroll, events and administrative support
- Professional presentation and telephone manner to reinforce and enhance the required image of the professional services firm with our clients
- Proven record in taking on new tasks and projects and showing initiative in over-coming difficulties and barriers
- Microsoft Office skills, particularly around Word and Excel.
- Personal time management skills in managing and prioritising competing demands.
Some experience with accounting systems such as Xero or Quickbooks online would be an advantage.
This is a Part-time role and would suit candidates who want to work school hours. We would also consider a job sharing arrangement, with access to school holidays to match candidates lifestyle requirements by arrangement with their job share colleague. Other part-time schedules will also be considered up to about 70% of a full-time load.
