Team Assistant

We are currently looking for a Team Assistant to work on a 6-month fixed term contract basis. This role is located in the Melbourne CBD. 

Our client is a national marketing and advertising company that is looking for a Team Assistant to support the General Manager in the effective management of their diary, supporting the customer service team of 60+ with administrative duties and providing support for other senior stakeholders.

You will be an individual that is able to hit the ground running, able to work off minimal direction, interact with a wide variety of stakeholders and provide administrative support for a medium sized department. 

Responsibilities

Reporting to the General Manager, your responsibilities will include but not limited to:

  • Diary and inbox management
  • Assisting in the preparation of training sessions
  • Provide ideas to the contact centre incentives and put them into practice
  • Assist in creating presentations and training packs
  • Preparing agendas, taking minutes and distributing documents for management meetings
  • Managed travel request forms
  • Purchase order requests
  • Processing purchase orders for the Contact Centre
  • Raising IT requests
  • Monitor and maintain stock of stationary 
  • Assist other EA's with events and offsite sessions as required
Requirements
  • 2 - 3 years' experience within a similar administrative role
  • High level communication skills - written and verbal
  • Ability to deal effectively and discretely with confidential and sensitive information
  • Proven ability to manage concurrent projects within agreed timeframes
  • Self-motivated and driven attitude
  • Highly organised and able to prioritise workload
  • Ability to focus in a busy contact centre environment
  • Intermediate experience of the Microsoft package
